- SUMMARY
- Our main purpose for processing personal data is to provide buyers with quotes from sellers as requested from www.thequotecentre.com (our website) or by phone. We may also process personal data for other purposes, such as marketing and market research. We will only ever keep personal data for as long as is necessary and for the purpose for which we need it. We need to share some of our buyers personal data with our sellers to enable them to make a purchase. Those sellers are then responsible for how they process the personal data.
- WHO IS PROCESSING THE DATA?
- The Quote Centre Limited is the data controller of the personal data that is provided on our website and/or that we have collected. This means that we are the company responsible for deciding how data is processed. To provide our buyers with quotes, we do not need to send personal data to our relevant sellers. However, when a quote has been accepted, we need to send personal data on to the selected seller. This is so the buyer can be contacted to confirm the finer details of the order. When the selected seller uses a buyer’s personal data to receive an order, they will be acting as a data controller of that personal data. This means that the seller oversees how they handle the data and we are not responsible for this. If the buyer provides them with any additional data, the use of that data will be subject to the seller’s own privacy policy.
- WHERE DO WE GET THE DATA FROM?
- Most of the data that we process will be data that we collect from buyers directly. We will ask various questions to collect the data we need for the purpose of providing comparative quotes. We will not be able to provide quotes unless the mandatory questions are answered. We will also obtain certain data about our buyers from the seller if an order is placed with them through us. We use this information to track sales as well as improve our website, our services and our customer journey. If there are any complaints about an order, we and the relevant seller will also exchange information about the complaint or query to ensure it is appropriately investigated and dealt with. We also collect data about buyers based on their actions, for example we collect data about how and when our website and services are used so that we can build up a picture of our customers. This can include information such as how many quotes have been obtained and how much text is entered into our forms. This helps us to provide a good service and to design improvements to our services.
- WHAT DO WE USE THE DATA FOR?
- Providing our services: The personal data that we use for the purposes set out in this part includes buyer or contact name, contact details and delivery address. We use this data to: - Provide a material, waste or plant hire quote comparison service requested from us. This includes sharing information with our pre-approved sellers. - Communicate about our services when quotes/quote requests/orders have been received. For example, send confirmation emails regarding quote requests or quotes received. - Manage, run and administer the account portal that is set up with us. - Help us build a picture of our customers to ensure that we provide relevant information, such as sending personalised communications. In relation to personal data used for providing a service and managing the portal, we process this data because it is necessary to provide our services. Fraud Prevention: In order to prevent and detect fraud, we may use the personal data set out above at any time to: - Check and/or share your details with fraud prevention and detection agencies; and - Share information about you with other organisations including the police, where necessary and proportionate; and - Carry out analysis on data that is held to assist the identification of fraud. In relation to the personal data processed for fraud prevention, we have a legitimate business interest in carrying out these activities to help minimise the risk of fraud or crime occurring and its detection.
- OTHER USES OF DATA
- Marketing: When details are provided to us, an opportunity to confirm whether the buyer is happy to receive marketing material from us is given. If confirmation is received, we will use the postal address, email address and telephone number to send marketing material by post, email, telephone call, SMS or WhatsApp message. We do not pass data to other companies for their own marketing purposes. If consent is given to us to contact for marketing purposes, we will disclose an anonymised version of the personal information such as name and email address to third party providers such as Facebook, LinkedIn, Twitter and Google to enable us to display marketing via such sites. Where we do this, we require third party providers only to use the information for the purposes of enabling us to display marketing through their site and not for any of their own purposes. This can be changed at any time by logging in to the portal and updating the preferences. Buyers can also unsubscribe from emails in this way or by clicking on the unsubscribe link on any marketing emails that are sent. This will not impact any communications that we need to send for the purposes of a quote or order, for example confirmation of a quote / quote request or for any other services we provide. Where interaction with The Quote Centre occurs on social media platforms such as Facebook, Twitter, LinkedIn and Instagram, we may ask for consent to use the content created via these platforms in our marketing material. Opt-out of this right can be arranged at any time by contacting us. Market Research: From time to time we may want to use the address, email address and/or telephone number to contact our customers to assist us with our research by asking a few questions about the service that has been received or by asking for a review of our services. We may sometimes ask market research companies to do this on our behalf. Research and Analysis Activities: We use data relating to request for quotes / quotes / orders, including the personal data input to carry out various research and analysis activities to help us to regularly review and improve the services we offer and to carry out research. If we share this data, it will be shared on an anonymised basis and we require the shared partner to delete the data as soon as the relevant research and analysis activity is concluded. We also use the data that we collect through website usage to carry out research and analysis into usage and activities on our website to enable us to continue to improve our website and our services. We process the above data because we have a legitimate business interest in carrying out these activities to promote and improve our business. We have ensured appropriate safeguards to protect rights when processing this data for these purposes.
- HOW LONG DO WE KEEP DATA?
- We will only keep personal data for as long as we need it and ensure it is securely destroyed when it is no longer required. We do however need to keep certain data after we have provided the quote service for certain periods as detailed below. Generally, we will keep data for a period of 5 years from when a quote / quote request / order is submitted. We will keep this data while a portal is active with us and then once the portal is no longer in use, we will generally retain any data for period of 5 years from that point (unless there is a requirement for us to keep that data for longer, for example if there are any ongoing queries or claims relating to the quotes / orders). We keep data for this period as it plays an important part in allowing us to undertake fraud detection and prevention activities, allows us to deal with any queries or complaints that may arise and allows us to carry out research and analysis to help us improve our services. If a seller processes a buyer’s data to provide a quote or accept an order, they should only keep the data for as long as is necessary and will keep the buyers data in line with their own retention period. All buyers should check the relevant seller’s privacy policy for further information.
- DATA RIGHTS
- Data Protection law gives various rights in relation to personal data. All the rights set out below can be exercised by contacting us using the contact details set out under the ‘Contacting Us’ section of this document. We can only deal with requests to exercise these rights where they relate to personal data that we process as data controller. If a buyer contacts us relating to personal data processed by one of our approved sellers as data controllers, we will direct them to the appropriate seller. - Our buyers and sellers have the right to ask us to provide a copy of the personal data we hold about them (Data Subject Access Request or ‘DSAR’). They can also access information about any quote requests / quotes / orders by logging into their portal. If other details are required about personal data that we hold then a DSAR can be made. When contacting us we will need to know the information required and any email addresses that were used to obtain / supply a quote, the name on the account (whether business or personal) and the address supplied (whether business or personal). For security purposes we can only deal with requests where the contact details provided match the details we have on file and we may need to ask for further information to verify identities. - Our buyers and sellers have the right to ask us to correct inaccurate personal data that we hold. If any data is inaccurate, we can be either be contacted by email or phone or the data can be amended via the portal. - Our buyers and sellers have the right to ask us to delete personal data that we hold. We are obliged to delete personal data in some circumstances, such as where it is no longer needed. However, data protection laws allow us to keep the personal data if we need to. - Our buyers and sellers have the right to object to us processing certain personal data. However, where we need to continue to process the personal data, we are not obliged to stop processing it.
